How to choose association management software
The right AMS depends on your size, budget and how you work. Use this checklist to compare options without getting lost in feature lists.
Start from your process, not the feature list
Write down the five things your team does every month: collecting dues, answering member questions, running an event, reporting to the board, renewing memberships. Then test each candidate against those tasks with your real data. A system that handles four of them smoothly beats one that lists two hundred features but makes your most frequent task slow.
Check data ownership and exit
Ask how you export your members, payment history and notes, and in what format. A CSV export you can run yourself is the minimum. Also ask who the data processor is and where data is stored, because your members' personal data stays your responsibility under GDPR.
Pricing model and migration
Compare what you pay at your current size and at twice that size. Flat plans are easier to budget than per-member or per-feature pricing. Finally, plan the migration: clean the spreadsheet first, import a small test batch, and only then move everyone.
Mistakes to avoid
Buying for features you'll never use.
Match the tool to what you actually run: members, dues, events, communication.
Per-contact pricing that punishes growth.
Check whether pricing is flat or scales with your member count.
Getting locked in with no export.
Confirm you can import and export your data freely.
The checklist
- Member registry with the fields and member types you use.
- Dues and renewals that match your billing cycle.
- Events and registration if you run them.
- Segmented email to reach the right members.
- Transparent pricing, ideally flat, not per contact.
- Free import/export and a clear data-ownership policy.
A quick way to decide
List the three things you do most (e.g. collect dues, run events, email members), then shortlist tools that do those well at a price that doesn't climb with your list. Try a free plan before committing.
Frequently asked questions
What's the most overlooked factor?
Pricing model. Per-contact pricing can multiply as your membership grows; flat plans stay predictable.
How long should evaluation take?
With a free plan you can import members and run a real event in an afternoon. That is far more telling than a feature checklist.
Can we migrate our existing data?
With Associatify, yes: CSV import, with no migration fee.
